Replying to a delay

A vendor telling you something has slipped is doing the right thing, and the natural reply is sympathy. Sympathy is fine as long as it is not the entire message, because this exchange is where the next two weeks get defined.

What you want out of it

A new date, and an acknowledgement of the old one. Not a reason. Reasons are unverifiable and asking for one turns a short exchange into a story you then have to decide whether to believe.

What the vendor sees

How much room there is. A reply that is all understanding and no dates is read, quite reasonably, as room. A reply that is warm and also names a date is read as somebody who is fine to deal with and is still counting, which is exactly the impression worth leaving.

What date should I now expect, and does the original window still stand or are you asking me to extend it. Either is fine, I just want to know which one we are doing.

The weak one is kind and gives away the whole position in nine words. The strong one is just as kind, then asks the two questions that make the rest of the wait navigable, and offers both answers as acceptable so neither is awkward to give.

What to leave out

  • Requests for an explanation. You cannot check it and it commits you to reacting to it.
  • Your own circumstances. They do not move the date.
  • Take as long as you need. Six words that remove the only structure in the arrangement.

What happens next

Write the new date down next to the old one. If it slips again, the useful message is not an angry one, it is a short note observing that this is the second date and asking whether the window is being extended again. Two dates in a thread is a fact. Two dates plus a complaint is an argument.

Why not to ask for the reason

You cannot check it, and once you have it you are committed to reacting to it. A reason you believe obliges you to be generous. A reason you doubt obliges you to say so or to pretend. Neither is a position you needed to be in, and skipping the question leaves the exchange about dates, which is the only part you can act on.

What a vendor who tells you is worth

Something, and less than it feels. Volunteering bad news is a decent sign and it is also cheap. It costs one message and it buys goodwill that gets spent later. Note it, do not overweight it, and keep counting the same way you would have if nobody had said anything.
