Reporting quality

Weight and count settle themselves. Quality does not, and a message written the usual way turns into two people describing an experience, which nobody neutral can rule on.

What you want out of it

Realistically a partial. Full refunds on quality are uncommon and asking for one usually converts a negotiation into a refusal. Deciding what you would actually accept before writing is most of the work on this page.

The problem with the obvious wording

Words like poor, weak and not as described are conclusions. They can be denied in one line and there is nowhere to go from there. What survives is a comparison against something specific: the listing text, a previous order from the same vendor, or a measurable property.

I am not asking for a full refund. A quarter back would close it from my side.

The weak version is four opinions with nothing to check. The strong one quotes the listing, names one difference rather than a general failing, and opens with the concession that a full refund is off the table, which removes the fight before it starts and makes the number easy to agree to.

What to leave out

  • Comparisons to other vendors. Read as a threat and it is not evidence.
  • More than one complaint. Two complaints in one message halves the credibility of both.
  • Anything you cannot describe concretely. If you cannot write down what is wrong, the message will not survive being answered.

Worth asking whether to send it

If it arrived and is usable, be honest with yourself about whether this is worth the exchange. A quality dispute costs you time, goodwill with a vendor you might use again, and it usually ends in a small partial. Sometimes the right message is none.

What happens next

Negotiation, normally. If it goes to a dispute the outcome is far less predictable than on a missing parcel, because the evidence is your description against theirs. That is not a reason to avoid filing, it is a reason to keep the wording narrow enough that it holds up when quoted back.
