Closing your notes

The file that made the evidence page possible stops being useful the moment everything is settled, and it does not stop existing on its own.

What to keep

  • The address set you usedwith the date, because that is the thing you compare against next time
  • Which vendor and roughly whenone line, no detail
  • Anything unresolvedif a report or a claim is still open

What to remove

  • The delivery block. It has served its purpose and it is the most sensitive thing in the file.
  • Message contents. Dates are enough once nothing is open.
  • Anything about amounts beyond what you need to remember.
  • Your working notes from a dispute. Once it is closed they are only a record of the closest you came to losing money.

When

Not the day it arrives. Wait until any window for a follow up has passed and any report you filed has gone cold, which is usually a few weeks. Deleting the file the moment the parcel lands is the version of this that leaves people unable to answer a question that arrives late.

The one file that stays

Keep the address file itself permanently, and keep it dated. That one is not order notes, it is the thing that lets you compare a string next time instead of recognising it. It is the smallest file on this page and the only one worth having in a year.
