Closing your notes

The file that made the evidence page possible stops being useful the moment everything is settled, and it does not stop existing on its own.

What to keep

• The address set you usedwith the date, because that is the thing you compare against next time
• Which vendor and roughly whenone line, no detail
• Anything unresolvedif a report or a claim is still open

What to remove

• The delivery block. It has served its purpose and it is the most sensitive thing in the file.
• Message contents. Dates are enough once nothing is open.
• Anything about amounts beyond what you need to remember.
• Your working notes from a dispute. Once it is closed they are only a record of the closest you came to losing money.

When

Not the day it arrives. Wait until any window for a follow up has passed and any report you filed has gone cold, which is usually a few weeks. Deleting the file the moment the parcel lands is the version of this that leaves people unable to answer a question that arrives late.

What this buys you

A small file that answers dates and nothing else. That is the right end state, and it is worth reaching deliberately rather than by letting a folder of order notes accumulate for two years because nothing ever prompted anybody to look at it again.

Why not immediately

Because questions arrive late. A report you filed may come back, a vendor may raise something, or a second order may make an earlier date relevant. Deleting the file the day the parcel lands is the version of this that leaves people unable to answer a simple question three weeks later, and there is no way to reconstruct dates once they are gone.

The end state worth reaching

One small file with a dated address set in it and almost nothing else. That is the right thing to be carrying in a year. It is worth reaching deliberately, because the alternative is not a clean file, it is a folder of order notes that accumulated for two years because nothing ever prompted anybody to look at them again.
